Hey, everyone! It’s been a while, but we want to thank you so much for your comments and feedback on the Proposal to Remove the Challenge Tags post. It was all super helpful, and we spent a long time mulling over the best approach to take. We wanted to keep the functions of the challenge tags while freeing up tag space, and it was a bit of a conundrum.

Then [personal profile] treonb kindly and wonderfully approached us about creating a comprehensive spreadsheet of all [community profile] fan_flashworks entries ever!!

This has ultimately resulted in a Community Report web tool, where you can search and filter the comm entries by challenge, fandom, and type. What’s more, exciting bonus! There’s also an individual Creator Report web tool, where you can see your own (and other’s) entries. Please take a look at these and try them out. We’re really excited about them.

Data-cleaning is still in progress (especially wrt fandoms) and will likely be on-going, but we are proud to announce that our data project is open for business! Check these out:

Fan Flashworks Creator Report


For the spreadsheet-y types among you, here is the complete dataset of fanworks, plus a full list of challenges, available in a community Google drive doc. An important note about using the spreadsheet: this is set as View only. If you want to sort or filter the data in spreadsheet form, you can either download your own copy or make a Filter View (by going to the Data menu and selecting Create filter view - this won’t affect other users’ view of the spreadsheet).





FAQ

What information can I find in the community report?
The community report provides data for all [community profile] fan_flashworks entries. There are total numbers for Fanworks, Fandoms, Media, Challenges, and Badges Awarded.

Beneath these stats, there are five buttons:
  • Fanworks gives a complete list of [community profile] fan_flashworks entries, including links to the entries themselves, annotated with creator, fandom, media, and challenge. You can filter the works.
  • Fandoms gives a list of fandoms that have been created for on the comm. You can expand each fandom to view the works, and sort alphabetically or by work count.
  • Media gives a list of the types of media that have been created for the comm. You can expand each type to view the works, and sort alphabetically or by work count. You can also group the media types by Specific (eg, art: icons, poetry: haiku) or General (eg, art, poetry).
  • Challenges gives a list of all the Challenge prompts, with work counts for each. You can sort alphabetically or by work count, and expand each challenge to view the works.
  • Badges gives all the badges on the comm, and their requirements.

At the top of the screen is a Report Issue button.

Note: This report might take a few moments to run.

What information can I find in the creator report?
The creator report lets you search on any [community profile] fan_flashworks creator. When you search, the screen will show you their total numbers of Fanworks, Fandoms created for, types of Media created, Challenge prompts created for, and Badges awarded. It also calculates the creator’s longest posting streak and their current streak.

Beneath these stats, there are the same five buttons as in the Creator Report buttons (but here they provide data specific to that creator’s entries), plus two additional buttons. The differences are:
  • Challenges gives a list of all the Challenge prompts you have created works for, with work counts for each. You can expand each challenge to view the works, and sort alphabetically or by work count. On the Creator Report you can also filter by all challenge prompts, by prompts you’ve made fills for, and by prompts you haven’t made fills for (yet).
  • Badges gives two options:
    • History - a chronological list of the badges you've been awarded on the comm.
    • Badges - the badges grouped by type (skills training, streaks, etc). There are three buttons for: All Badges (ie, all badges available on the comm; this is the same as the badges pages on the Community Report), My Badges (ie, all the badges you've been awarded), and Available Badges (ie, badges available for you to earn). Note: Under My Badges, each badge has a “Copy Embed” button to provide the embed code.
  • Unfilled Challenge gives a random challenge prompt that you haven’t filled (yet). You can use this for amnesty rounds if you’d like.
  • Next Skill Badge gives a random skills training badge that you haven't earned (yet), and the requirements for that badge. You can use this for inspiration if you want to focus on earning new badges.

At the top of the screen are two buttons: Search for another creator and Report Issue.


Where does the data come from?
The data is taken from your entry's subject lines as they appear in the challenge roundup posts. So it helps us if you can keep your subject lines in the standard format of "[Fandom]: [Media]: [Title]" for regular rounds, and "[Challenge prompt]: [Fandom]: [Media]: [Title]" for amnesty rounds.

We have some behind-the-scenes mapping to standardise fandom names (eg, BtVS --> "Buffy the Vampire Slayer"), but this is still a work in progress and likely always will be.

When is data updated?
Data is updated from the round-up post at the end of the round. This means your entries for the current round won’t be included in the data or the calculated posting streaks until the challenge closes.

What is the state of the data?
The data, especially the fandom names, is a work in progress. We will continue to slowly tidy this up behind the scenes. If you notice anything egregiously wrong (eg, a challenge prompt in the media types), please let us know.

What do I do if I notice an error in the reports or the spreadsheet, eg, my challenge count is off?
If you notice an error or problem with the reports or the spreadsheet, you can a) report an issue using the Report Issue button on the Reports, b) comment on this post or the Contact a Mod post, or c) PM [personal profile] china_shop or [personal profile] teaotter on Dreamwidth, and we'll investigate.

What happens to Issue Reports?
If you report an issue, it sends an email to the [community profile] fan_flashworks mods and Treon, and your report is logged in a spreadsheet. You’re also welcome to tell us in comments here about any issues you find.

What tabs are available in the fan_flashworks community spreadsheet?
The tabs are:
  1. Welcome! - contains a description of the spreadsheet, and instructions for creating a filter view in Google Docs, so that you can filter the works without affecting the way others see it.

  2. Reports - links to the Creator Report and the Community Report.

  3. fanworks - a complete list of [community profile] fan_flashworks entries, including round-up date, challenge, whether the entry was for an amnesty round, creator, fandom, media/type, name/title, link to the entry post, and link to the related round-up post.
    Important: Because some entries were made for multiple prompts, multiple fandoms (eg, crossovers), and/or multiple types, there are limits on how accurately this data can be filtered. If you want to filter the data, your best bet is the Community Report.

  4. challenges_summary - a complete list of all 400+ challenges so far.

How can I filter the works in the spreadsheet if I don't want to download my own copy?
To create a filter view:
  1. Go to the fanworks tab.
  2. In the Data menu, select Create filter view.
  3. You’ll now see a green bar that says Temporary filter 1 — this means you’re in a private filter view.
  4. Use the 🔽 filter icons in the header row to view just the works you want — like a specific Challenge, Fandom, or Type.
  5. You can sort, search, or filter, and it won’t affect what others see!
  6. When you're done, just click the ❌ in the green bar to close the filter view.


Note: These instructions are also on the Welcome! tab of the spreadsheet.

In the spreadsheet, can I tell which entries were posted for amnesties?
Yes, the fanworks tab has a checkbox showing which entries were created for amnesties.

We’re going to wait about two months to iron out any issues with these resources, and then we’ll remove the challenge tags from the comm, to give us elbow room to keep adding new creators and fandoms.

If I had changed my non-amnesty subject lines to include the challenge, should I go back and remove the challenge? Or will that only cause extra work because they’re already mapped?

I had already changed my titles adding the prompt at the beginning since I don't have many entries, but I'll go back to the standard format as suggested from now on.

I'm not at all sure what this question means, but I assume it's technical in some fashion for the spreadsheet or report scripts. Can you expand a bit more context so I can run it past someone with more technical knowledge than I have?
